RIO Challenge v4 - C06.14 - Student Fee Generation

 

When a new academic term begins, RIO University must calculate and issue the appropriate student fees based on each student’s enrollment and fee type.
In RIO Education, this is achieved through Study Fee Configurations, which define how fees are calculated using Study Fee Matrices for different student types, such as domestic and international students.

In this challenge, you will configure the Student Fee Type for each student and generate the Transaction Orders for the current term.

 

Learning outcomes

  1. Understand how Study Fee Configs and Study Fee Matrices are used to calculate fees.
  2. Learn how to define a student’s Student Fee Type.
  3. Generate Transaction Orders automatically from the Study Term.

Steps to complete the challenge

RIO University has finalized student registrations for the upcoming Study Term - Current Term. Now, they wish to generate the student fee for each student before the term begins.

You are required to ensure the fee configurations are set up properly, and assign the correct Student Fee Types to each students before generating their Transaction Order.

 

  1. Click on the 'RIO Challenge' tab at the bottom left of the page. Click on 'Initiate Challenge' to generate the data required for this challenge.



     
  2. From the App Launcher, search for Study Fee.


    Select the list view ‘C06.14 - Student Fee Generation’.


    Notice the Study Fees listed. These Study Fee represents the various fees for an educational institution, and can be reused across multiple Study Fee Configs, which will be covered later.


     
  3. From the App Launcher, search for Study Fee Config.


    Select the list view ‘C06.14 - Student Fee Generation’…


    …and select the Study Fee Config ‘C06.14 - Undergraduate Fee Config’.

     
     
  4. Study Fee Matrix determines the Applicable Student Fee Types: whether it is for domestic students or international students.
    It also holds a set of Study Fee Matrix Items, which details the specific fees to be charged to a student.

    Observe the 2 Study Fee Matrix and their Applicable Student Fee Types.
    Notice that one is applicable for Domestic, the other for International.


    Click into both records, and observe the set of Study Fee Matrix Items.

    Notice that while both Study Fee Matrix records reference the same Study Fees listed in Step 2, their Type and Amount fields differ.

    For example, the ‘C06.14 - Tuition Fee (Normal Term)’ may have a higher amount for International students than for Domestic students. This allows more flexibility in student fee calculation according to different student fee type.


     
  5. Go to the ‘Contacts’ tab, and select the list view ‘C06.14 - Student Fee Generation’.


     
     
  6. There are 2 contacts created for this challenge. Your task is to update the students into having different Student Fee Type.

    Let's start with John Doe.
    Within John's contact record, navigate to the Enrollments tab to find the Individual Academic Progress.


    Then, set the Student Fee Type to ‘Domestic’.


    Navigate to the ‘Fees’ tab and observe the Transaction Orders related list. No fees should be generated yet.


     
  7. Do the same for Fred Smith, except we will set his Student Fee Type to ‘International’.


    Now, we have 1 domestic student and 1 international student.


     
  8. Let's proceed to generate these students' fee.
    Go to the ‘Study Terms’ tab, and select the list view 'C06.14 - Student Fee Generation'.


    Then, select ‘C06.14 - Current Term’.


     
  9. Update the Generate Transaction Orders checkbox to checked.
    This will trigger an automation to generate Transaction Orders for all students enrolled into this Study Term.



     
  10. Return to the 2 Individual Academic Progress records.
    Navigate to the ‘Fees’ tab and observe the Transaction Orders related list.


     
  11. Click into both Transaction Orders.
    A Transaction Order details a student's fee charges as well as any scholarships, financial aid, or discounts.
    These charges and discounts are recorded as Transaction Line Items.


    Notice that the 2 Transaction Orders have different Total Amount. This is due to the students being charged differently as a domestic student versus an international student.


     
  12. Congratulations, you have completed the challenge! Click on the 'RIO Challenge V4' tab at the bottom left of the page, and click on 'Complete Challenge'.
