RIO Challenge v4 - C05.01 - Study Session Setup

Study Sessions define the details of a class, including the time, location, day, recurrence, and capacity. They must have scheduled times and assigned facilities to ensure smooth timetabling and student enrollment.

Without them, students cannot view or enroll in classes, or see class availability. Once enrolled, the sessions appear on their calendar, helping them keep track of their schedule.

In this challenge, you will set up lecture and tutorial sessions for a course, complete with their scheduled times and assigned locations.

Steps to complete the challenge

RIO University has set up the Study Offering AC104 - Advanced Composition Studies for the Current Term.

Now, the university needs to create the related Lecture and Tutorial Study Sessions. These sessions must have assigned facilities and recurring time slots so that students can view and enroll in them.

You will set up both the lecture and tutorial sessions for AC104.

1. Click on the 'RIO Challenge V4' tab at the bottom left of the page. Click on 'Initiate Challenge' to generate the data required for this challenge.

2. From the App Launcher at the top left of the page, search for ‘Individual Program Enrollment’.

Then select the list view ‘C05.01 - Study Session Setup’ and click to open the record created for this challenge.

3. Observe that Fred Smith has enrolled into the Study Unit - AC104 - Advanced Composition Studies.

Click on the Session Enrollment tab.

A Study Session represents a scheduled class event such as a lecture or tutorial. It defines when and where the class takes place, allowing students to enroll and attend at specific times.

Notice that there are no Study Sessions for AC104, which means the university has yet to create a lecture and tutorial session for student enrollment.

4. From the App Launcher at the top left of the page, search for ‘Study Session Scheduler’.
   
   
   

The Study Session Scheduler allows you to create, manage, and view all sessions and their time allocations for a set of Study Offerings happening at a certain time frame.

5. A Study Offering can have multiple Study Sessions, such as one for lecture and another for tutorial sessions.

Let's create a lecture Study Session first.

Click on the ‘plus’ icon to create a new Study Session.


 

The first part of creating a new Study Session is to define the Study Unit and Study Offering.

After clicking ‘Next’, it's time to define the Study Session details.

Now that we have defined the Study Session's type and capacity, it's time to create the Study Session Times.

The university would like to have 2 lecture classes per week. Thus, we will need to create 2 Study Session Times.

Click on the ‘plus’ sign for Study Session Times.

And fill in the following information:

Then, create another Study Session Times with the details below:

Now that that's done, click ‘Save and Update Schedules’ to complete the Study Session creation.

Navigate to “Next Week” then observe the scheduler, you should be able to see the weekly classes (also known as Study Events) now.

6. Let’s now create Study Sessions for the tutorial classes.

To provide students with more personalized learning support, the university has decided to divide the cohort into smaller tutorial groups.

However, the second tutorial session will only open for enrollment once the first session reaches full capacity.

You will therefore create two tutorial Study Sessions, each scheduled once per week.

As usual, let's first define the Study Unit and Study Offering we're creating the Study Session for.

Now, let's define the Study Session…

…followed by the Study Session Time

Click ‘Save and Update Schedule’, and you're done!

7. Let's repeat Step 6 for the other Study Session.

Remember, the second tutorial session will only open for enrollment after the first tutorial session reaches full capacity.

Click ‘Save and Update Schedules’.

Observe the scheduler again. There should be 3 Study Sessions created for AC104 - Advanced Composition Studies, and 4 class slots, since lectures happen twice a week.

8. Return to Fred Smith's Individual Program Enrollment.

Navigate to the Session Enrollment tab, and observe the available Study Sessions for enrollment.

Notice that there are now 3 Study Sessions available for AC104 - Advanced Composition Studies, but only 2 are available for enrollment.
 

The tutorial lesson for class B is not open for enrollment since there are no available places.
 

Enroll Fred Smith into the available lecture class and tutorial session.

Then, click on the calendar button, and select the “month” option. You can see Fred Smith's monthly timetable now.

9. Congratulations, you have completed the challenge! Click on the 'RIO Challenge V4' tab at the bottom left of the page, and click on 'Complete Challenge'.
