Can I auto populate the Program Plan‍ at the Program Enrollment‍?

Resolution

The Program Plan‍ in a Program Enrollment‍ is one of the important elements to determine how to structure Courses. The Program Plan can be auto-populated when you convert a Program Enrollment from a Program Application‍.

Background Information:

Be aware that:

1. At a Program Application record level, there are Program Plan and Program Pathway lookup fields respectively.

2. At a Program Plan record level, there is a Default Program Pathway lookup field.

Behavior:

Depending on the setup and what is populated (manual or custom automation) when a Program Application is available, the Program Plan at the Program Enrollment will be populated too upon successful conversion.

Guidelines:

1. When Program Plan and Program Pathway do not exist in Program Application but the Academic Program does.
   The primary Program Plan against the Academic Program and its default Program Pathway will be used. The primary Program Plan of an Academic Program being:
   • A Program Plan that is marked as "Status" = "Current" and "Is Primary" = TRUE.
   • Note that there is no validation around this and it is best to keep only one Program Plan record within the Academic Program with the above attributes.
     
     
2. When Program Plan and Academic Program are populated but not the Program Pathway at the Program Application.
   The Program Plan defined will be referenced in the Program Enrollment and its Default Program Pathway will be considered.
   
   
3. When Program Pathway and Academic Program are populated but not the Program Plan at the Program Application.
   This setup is not recommended as it would potentially clash as the Program Pathway does not match with the primary Program Plan in the Academic Program.
   
   
4. When Academic Program, Program Plan, Program Pathway are populated at the Program Application.
   The respective information will be mapped across to Program Enrollment upon conversion.
