Grade Setting


Grade Settings are used to identify the result that the student has obtained in the Course‍, based on the marks. For example, we can define a Grade Range and the other results associated with that range:

It is important to include decimals when defining the range, such as 80 - 89.9. This is to cover cases where a student's grade (i.e. 89.3) might be between 2 Grade Ranges (80 - 89 and 90 - 100).

If there are 2 or more Grade Settings that share the same range, and a student's grade falls within that range, the system will take the latest/most recently created Grade Setting.



The mark (grade) (0-100) is recorded on the Course Connection‍ object either manually or through an integration from an LMS system. The system will then search for the relevant grade setting where the grade entered falls within the grade range and records the:

  • Grade Value (e.g. High Distinctions).
  • Grade Points (e.g. 7).
  • Grade Result (pass/fail).


Grade setting can be added to Educational Institution / Department or the Academic Program, and the system will take the grade setting type defined in the Course record (e.g. Academic Program, then Department, then Institution), even if the Grade Setting Scope field on the Course Connection is left blank.

The screenshot below shows a Grade Setting record.


When a Grade Setting record is created, it is recommended to follow a systematic naming convention. A recommended naming convention for Grade Setting record names can be:

Educational Institution & University Department.

<First uppercase letter of each word of educational institution/university department> - <code/prefix of grade value>

Academic Program

<Program Code> - <code/prefix of grade value> 


Besides, for a Grade Setting group, multiple Grade Settings with the same grade value (e.g. HD - High Distinction) are not allowed. The validation is done by trigger to populate the “Grade Setting Unique Key” with <grade setting record id><prefix of grade value>. For example: 0016A00000OYCUBQA5-HD.



Note:

If students are required to achieve a certain level of attendance for a Course, a Grade Setting must be created for this requirement, and the 'Fail Absent' checkbox must be checked.


If the student fails to meet the required attendance %, releasing the grades on his/her Course Connection will produce a 'Fail Absent' grade, regardless of the grades they achieved (since the Grade Range defined for Fail Absent is from 0 - 100).

Grade Settings for different account levels

RIO Education allows flexibility in grading Courses (from different parent Programs) in the same Program.

Each Grade Setting works with these accounts:

  • Academic Program: The Academic Program the student is enrolled into.
  • University Department: The University Department of the Course.
  • Educational Institution: The Educational Institution of the University Department of the Course.


Example scenario:

You are enrolled in a Bachelor of Music, which is in the Music Department. The Grade Setting type for the Music Department is the A/B/C type grading.

You are also taking an extra English Course that is part of the English Department, which uses Pass/Fail.


If the English Course's Grade Setting Type is set to Department, it will get the Pass/Fail of the Foundation Studies Department, not the A/B/C of the Music Department (the Program you are enrolled into).


This is because if you set the Grade Setting Type of a Course to a Department, it will use the Department that the Course is linked to, not the Department that the Program is linked to.

Hence, this gives you the flexibility to set different grading type for different Courses in the same Program.



Important fields

Field Description
Grade Setting Scope
Determines the type of Grade Setting group (account) that a Grade Setting can belong to, e.g. Educational Institution, University Department, or Academic Program.
Grade Setting Group
The account a Grade Setting belongs to.
Grade Range
Grading range, e.g. 80 - 89.9. Note that there is no overlap range check at this moment.

Note: It is important to include decimals for the range, such as 80 - 89.9.
This is to cover cases where a student's grade (i.e. 89.3) might be between 2 Grade Ranges (80 - 89 and 90 - 100).
Grade Value
Determines the level of achievement.
Grade Value Scoring Range
Value from Grade Range to be used when grading by Grade Value.
Grade Points
Determines the credits earned upon achievement.
Grade Result
Determines the outcome of achievement, i.e. 'Distinction'.
Grade Setting Unique Key
A unique key to prevent duplicates Grade Setting with the same grade value. This will be updated by trigger.
For Fail Absent
Custom field in v3.3.

Indicates the particular Grade Setting record is meant for Fail Absent instead of relying on the hard coded "Absent" text.
For backward compatibility, the hard coded "Absent" text will still work as it is.
